Hospitality Committee

WHO:  The Hospitality Chairperson is the Official Host of the PTA unit and, with the committee, has the responsibility of establishing a friendly, comfortable atmosphere at PTA meetings and events.  The Hospitality Committee helps to create a sense of belonging that invites members to become involved in PTA activities.  The chairperson should work with the committees who plan programs or events and vice versa.

WHAT: The Hospitality Committee works with each committee by:
  • The committee meets or consults with other appropriate programs chairpersons to secure dates of PTA meetings and other planned events. 
  • Holds planning meetings with committee members and invite president.
  • Invite room representatives to add additional school wide dates, celebrations, etc.
HOW:  Certain duties include the following:
  • Determine who will be in charge of organizing all food, ice, paper product needs, etc. so that items needed are always present at the event.
  • Make courtesy calls to those in charge prior to the event to ensure a successful event.
  • Clarify who will be responsible for making reservations for meeting places and book well in advance.
  • Prepare name cards, registration sheets, and any decorations to be used at events.
  • Obtain names of special guests from president or program chairperson and carry out any special arrangements that have been planned for them.
  • Check physical setting:  number of chairs for audience, lectern, microphone, water and glasses, room temperature, table and chairs for presiding officer and others, seating for program participants, flags and standards, blackboard, etc.
  • Be sure adequate food, equipment and supplies are available.
  • Develop a clean-up plan prior to every event.
